Office Administrator - Tech Savvy

Interstate Air Conditioning & Heating employs a staff of over 50, including field technicians, project managers,estimators, and administrators. Our firm offers a complete rang of Commercial HVAC services throughout New York & New Jersey.

Job Summary:

It is the responsibility of the office administrator to answer phones, assist service manager & field technicians with all different service related functions.

Responsibilities and Duties:

  •  Answer the phone quickly and professionally.
  • Be familiar with our company, products, and services so many questions can be answered without consulting others.
  • Communicate clearly, precisely, and in a friendly manner Take and deliver messages as appropriate.
  • Ensure messages are received and follow up is appropriate.
  • Call customers to schedule service and maintenance appointments.
  • Call supplies and vendors for pricing on parts.
  • Provide sufficient knowledge, skills, training, and information to achieve peak performance, continuous improvement, and a positive, productive work environment consistent with company goals and objectives.
  • Understand the skills, strengths and weaknesses of the field technicians so as to dispatch field technicians in relation to the job opportunity and ability of the technician.
  • Provide all necessary information to field technicians.
  • Organize On-Call schedule for technicians. "Time Stamp" field technicians for dispatch, arrival and completed times in the computer system; verity vehicle tracking.
  • Contact Customer prior to dispatch to ensure their presence and method of payment via phone or e-mail.
  • Perform other duties as assigned.


  • Minimum Associates Degree
  • Proficient with MS Word and Excel
  • Eye for detail, accuracy is imperative
  • Able to meet deadlines
  • Excellent oral and written communication skills
  • Excellent organizational and analytical skills
  • Ability to be an effective team member and display initiative
